SertifiNHQ offered Sertifi to CAP Regions as NHQ began to process Region finance transactions in the same way Wings process transactions for Units under the Wing Banker Program. The Sertifi functionality offered a great tool for sending items from Region to NHQ for payment, but also from NHQ to Region for approval. Late in FY 07, NHQ offered this service to Wings in order to alleviate the burden of processing approvals at wing level. GLR and some of the Wings within GLR introduced NHQ to Sertifi.
Wings have two "administrative" logins, which means two different people can submit items for approval. The administrator scans the documents that need to be approved, enters the email addresses of the approvers and waits for approvals. The benefit of Sertifi over traditional email is that Sertifi gives the administrator a quick view of the items still out for approval and which documents approvers have looked at, approved, or have not viewed at all. With traditional email, the administrator must track return emails. This can be cumbersome when you have several items out for approval.
Another benefit is the finished document has all of the approvals, with time/date stamps, on one page. With traditional email, one would have to print all of the emails and attach to the invoice. This could entail numerous sheets of paper attached to the invoice, which means your files are enormous.
Since the documents are on line, the administrator, the reviewer, the WFA, and CAP's external auditors can view the approved documents at any time. This allows more internal controls as the documents cannot be altered once submitted and approved. It also allows the reviewers to reference that document at any time without having to actually go to the Wing.
